AI for Small Businesses in 2026

If you’ve spent any time online recently, you’ll know that everyone seems to be talking about AI. In fact, it’s probably already crept into your home without you even realising it. Children are using it to help with homework, teenagers are asking it to explain tricky subjects or revise for exams, and young adults are using it to write CVs, plan holidays, learn new skills and even prepare for job interviews. AI has quickly become part of everyday life.

The same is happening in the workplace. Every software company seems to have an AI feature, and it can be difficult to separate the genuinely useful tools from the ones that are simply jumping on the AI bandwagon.

At S.A.D.S. Ltd, one of Kent’s most trusted MSP’s for over 35 years, we’ve been having more and more conversations with our customers about AI. The questions are usually the same:

“Is it worth using?”

“Will it actually save us time?”

“Is it safe?”

The short answer is yes – but only if it’s used properly.

Our advice has always been simple: don’t adopt technology because it’s new. Adopt it because it solves a real problem.

For most small businesses, AI isn’t about replacing people. It’s about removing repetitive tasks so your team can spend more time doing the work that really matters.

Where We See AI Making the Biggest Difference

The businesses we support are already using AI in ways they might not even realise.

Some of the biggest time-savers include:

  • Writing and improving emails.
  • Summarising meetings and creating action lists.
  • Producing first drafts of documents and policies.
  • Analysing spreadsheets and business data.
  • Automating repetitive admin tasks.
  • Responding to common customer enquiries.
  • Creating marketing content and social media posts.

These aren’t revolutionary changes—but together they can save hours every week.

The AI Tools We Recommend

There are hundreds of AI tools available today, but most businesses don’t need dozens of different platforms. In our experience, it’s usually better to choose one or two trusted tools that fit naturally into the software you’re already using.

Microsoft Copilot

For businesses already using Microsoft 365, this is usually our first recommendation.

Because Copilot works directly within Outlook, Word, Excel, Teams and PowerPoint, your team doesn’t have to learn an entirely new system.

It can help with:

  • Drafting emails.
  • Summarising Teams meetings.
  • Analysing Excel spreadsheets.
  • Creating reports and presentations.
  • Finding information quickly across your Microsoft environment.

For many businesses, it’s one of the easiest ways to introduce AI without disrupting existing workflows.

ChatGPT

ChatGPT has become one of the most useful AI assistants available for businesses.

We often recommend it for:

  • Brainstorming ideas.
  • Writing first drafts of blogs and newsletters.
  • Creating marketing content.
  • Explaining technical topics in plain English.
  • Researching new ideas.
  • Improving existing documents.

The important thing to remember is that AI should help create the first draft—not the final version. A member of your team should always review anything before it’s sent to customers or published online.

Google Gemini

If your business uses Google Workspace rather than Microsoft 365, Gemini offers many of the same productivity benefits.

It integrates with Gmail, Google Docs and Sheets, helping teams write faster, organise information and reduce repetitive admin.

Canva AI

Not every small business has an in-house designer.

Canva’s AI features can help create professional-looking social media graphics, presentations, marketing materials and images in minutes, making it a great option for businesses looking to improve their marketing without investing in expensive design software.

AI and Cyber Security

This is where we’d encourage businesses to slow down before jumping in.

As a leading MSP and one of Kents most trusted IT support company for over 35 years, we’ve already seen cyber criminals using AI to create far more convincing phishing emails than they could just a couple of years ago. Fake invoices, realistic emails and even AI-generated voice scams are becoming increasingly common.

At the same time, AI is helping improve cyber security by identifying unusual behaviour, detecting suspicious emails and responding to threats much more quickly.

Like any technology, AI isn’t good or bad—it’s how it’s used that matters.

That’s why we always recommend combining AI with good cyber security practices, including:

  • Multi-factor authentication (MFA)
  • Regular software updates
  • Cyber security awareness training
  • Secure backups
  • Strong password policies
  • Managed security monitoring

Don’t Forget About Data Security

One of the biggest mistakes businesses make is signing up for free AI tools without considering where their company data is going.

Before uploading documents or customer information into any AI platform, it’s worth asking a few simple questions:

  • Where is my data stored?
  • Is it being used to train the AI?
  • Does it comply with GDPR?
  • Is this suitable for confidential business information?

These are conversations we regularly have with our customers because protecting your business data should always come first.

Our Advice? Start Small.

You don’t need to use AI for everything.

In fact, we’d recommend the opposite.

Start with one task that’s repetitive or time-consuming, whether that’s writing emails, summarising meetings or creating documents and see how much time it saves.

Once your team becomes comfortable with it, you can gradually introduce AI into other areas of the business.

The businesses getting the most value from AI aren’t necessarily using the most tools.

They’re simply using the right ones.
